Scheduling & Cancellation Policy

The Wellness Philosophy Inc. strives to provide a positive and useful experience for each client.  Due to the amount of time spent with each client, our scheduling and cancellation policy is designed to maximize this limited time while giving other clients equal opportunity to seek nutrition counseling services.
 
APPOINTMENT SCHEDULING - IN OFFICE
 
Initial nutrition in-office assessments performed by The Wellness Philosophy Inc. are billed at $175.00.  A $50.00 deposit is required to hold your appointment, with $125.00 being due at the completion of the initial assessment.
 
Upon agreement of a scheduling date and time, an electronic invoice will be e-mailed to you for processing of your deposit via credit card payment.  Payment is due 24 hours from the time the electronic invoice request is sent to hold your appointment.  If payment is not received by the deadline stated on the electronic invoice request, the appointment date and time will be forfeited and made available for another client.

APPOINTMENT SCHEDULING - PHONE
 
Initial nutrition phone assessments performed by The Wellness Philosophy Inc. are billed at $175.00.  Full payment of $175.00 is required to hold your appointment, and will be designated as your deposit.
 
Upon agreement of a scheduling date and time, an electronic invoice will be e-mailed to you for processing of your deposit via credit card payment.  Payment is due 24 hours from the time the electronic invoice is sent to hold your appointment.  If payment is not received by the deadline stated in the electronic invoice, the appointment date and time will be forfeited and made available for another client.

RESCHEDULING APPOINTMENTS


The Wellness Philosophy Inc. realizes that clients may need to reschedule an appointment due to circumstances or emergencies that arise prohibiting the client from keeping the originally scheduled appointment time.  The Wellness Philosophy Inc. allows a one-time reschedule opportunity for each client.  Notice must be provided to The Wellness Philosophy Inc. at least 24 hours in advance of your appointment time.  If a client attempts to reschedule the initial appointment a second time, The Wellness Philosophy Inc. reserves the right to collect any additional fees (not to exceed the full price of an initial assessment), or cancel the appointment entirely, retaining $50.00 for administrative and opportunity loss fees.
 
CANCELLING APPOINTMENTS - IN OFFICE

Clients are able to cancel in-office appointments at anytime, however all or a portion of the $50.00 deposit will be retained by The Wellness Philosophy Inc as follows:
  • Clients cancelling in-office appointments within 1-7 days before a scheduled appointment will forfeit 100% of original deposit
  • Clients cancelling in-office appointments 8 days or more before the scheduled appointment will be refunded 1/2 of original deposit 
 
CANCELLING APPOINTMENTS - PHONE

Clients are able to cancel phone appointments at anytime, however a portion of the deposit will be retained by The Wellness Philosophy Inc as follows:
  • Clients cancelling phone appointments within 1-7 days before a scheduled appointment will forfeit $50.00 with any remaining balance of original deposit being refunded to client.
  • Clients cancelling phone appointments 8 days or more before the scheduled appointment will forfeit $25.00 with any remaining balance of original deposit being refunded to client.
